How to Upload the Default Transaction Import Template within CereTax

Importing the File

1. Once logged into CereTax, navigate to Transactions > Import Transactions

 2. Click New Transaction Import

3. Enter a Name for your import

4. Select the Profile that this import file is for. If there is only one Profile, this should already be displayed as the default.

5. Use Existing Template should be selected with the below field set to Ceretax Default Template

6. Click to upload your file by browsing for the file OR drag and drop the desired file into the upload box

  • The import template must be in .CSV or .XLSX format

7. Click Next

8. Set the Content Date to be used for tax calculation

  • If your file contains transactions for more than one (1) month, it is recommended to upload each month in separate files, so the correct tax rates and taxability are applied.
  • If the Business Type, Customer Type Seller Type and Tax Situs Rule fields are set in the import file, these fields do not need to be selected.

9. Click Next

10. A preview of your data file will be displayed. Click Submit to proceed with uploading the file.

Calculating Tax on the Imported File

1. Once you receive a success message that your file has been submitted, you will be returned to the main Import Transactions screen

2. Your uploaded file will be displayed with an Import Status of "Pending"

3. This screen does not automatically refresh, but you can manually refresh the screen by clicking the Refresh icon at the bottom of this screen to check the status of the file

4. The available statuses as your file is processing are:

  • Pending (Initial Status)
  • Mapping Completed
  • Calculating Taxes
  • Calculating Taxes Finished
  • Import Completed (Final Status)

 5. Once the Import Status reflects "Import completed", your file has successfully processed

Confirming All Invoices Uploaded Successfully

1. To confirm all Invoices from your file imported successfully, right-click on the Import File and select View Transactions

2. You will be directed to the main Transactions screen, with a filter automatically applied on the selected Import File

3. Confirm all unique Invoices from your Import File are displayed here and that the Transaction Status reflects "Active"

4. If your file contains many invoices, you may want to add a Filter to confirm all Invoices are in "Active" Status

  • Select the Filter icon at the bottom of the screen > Click Add Filter
    • In the Report Field, select or enter status.currentStatus
    • Set the Condition to "equals"
    • Set the Value to "Active"
  • Click Confirm

5. Confirm the value displayed at the bottom of the screen matches the total number of unique Invoices from your Import File
